What's new on the Waitwhile platform in May

We’re thrilled to share some exciting milestones and powerful new features that continue to make Waitwhile easier, more secure, and more flexible for your team.

In this update, you’ll find new ways to customize bookings, manage waitlists more smoothly, and fine-tune your setup — all designed to save your team time and deliver better guest experiences.

What's new on the Waitwhile platform

Set more flexible booking start times

It’s now possible for staff to add bookings at 5-minute intervals, regardless of the current slot size. While guests must still follow regular slot timing, this provides staff with increased flexibility.

Drag-and-drop for waitlists in board view

Managing your waitlists just got easier. Users can now leverage drag-and-drop functionality to move visits up or down in the waitlist in board view on all devices, including desktop.

Search for all customer journey terms with ease

We have added search functionality in Location settings to help users easily find and edit specific customer journey terms. Now you can update almost any term in seconds!

Here are a few more things we've worked on recently.

Enhancements for your customers

  • Filter the All waitlist page by label or service: This update lets users filter the waitlist overview by specific labels or services using URL query parameters. This is great for customizing views by location or service.
  • Customizable ticket IDs based on services: Customizable ticket prefixes allows you to use the first letter of the service name as the ticket prefix. For example, ‘Tailoring’ will use T001 and ‘Repair’ will use R001. Read more about it in How to configure the registration pages.

More flexible configuration options

  • Added permission to hide or show the Notes tab: This added permission allows administrators to control the visibility of the Notes tab in the Customer and Visit side panels. It provides more granular control over access to notes functionality for different user roles.
  • Added External ID for services: We’re making it possible to add a custom ID to services for internal tracking or configuration, called “External ID”. This is in addition to Waitwhile’s automatically generated IDs for services.
  • Select which languages to bulk update across locations: A feature that allows users to copy a single language and its localizations from one location to multiple other locations, providing more granular control over language updates without overriding existing translations.
  • Added granular permissions for Services and Resources: We've broken down permissions for Services and Resources into smaller, clearer ones. This makes it easier to fine-tune access with more detail.

Improved experience for staff members

  • Show zoom tool in Calendar display settings for all users: Previously, users without permissions to edit Display settings were unable to access the zoom control on the Calendar page. This update makes the zoom tool visible to all users, regardless of permission level.
  • Improved QR scan functionality for completed visits: Previously, when a completed visit’s QR code was scanned, an error message was shown without linking to the visit. Now, clicking on the message takes the user back to the visit, making it easier to restore no-shows or revisit completed visits. This is visible when QR scan-to-serve is activated.
  • Updated Bookings/Completed date range options: Updates the date range filter options in the Visits > Bookings and Visits > Completed sections to provide more relevant time period choices for each view. Bookings will focus on upcoming periods (Today, Tomorrow, Next 7 days, etc.) while Completed will show past periods (Today, Yesterday, Last 7 days, etc.).
  • Fixed a bug with required policy and checkbox fields: Previously, staff members could bypass required policy or checkbox fields by leaving them unchecked. This update fixes this bug, while still maintaining flexibility with ability to set default values and have separate requirements for staff and customers.
